The short answer
Use your actual dated quotes and estimates in one chosen currency. Calculate accommodation nights, daily costs and separate intercity legs, then show fees, contingency and exclusions. A transparent input-based total is more useful than an unsupported “China costs X per day”.
Build the cost sheet
- Accommodation: rooms × charged nights × nightly quote, with tax, breakfast, deposits and cancellation terms noted separately. Trip days are not automatically room nights.
- Meals and local travel: estimate each person’s daily amount and the relevant number of days. State whether a shared taxi is counted per vehicle or per person.
- Intercity transport and activities: enter each actual quoted leg or ticket, its date and what is included. Avoid counting an included transfer a second time.
- Connectivity, insurance, application/visa costs where applicable, card/FX charges and a contingency: enter them individually rather than hiding them in a daily number.
Compare consistent currencies and conditions
Choose a working currency. If you convert a quote, record the rate, rate date and fees yourself; this tool does not provide a live exchange-rate guarantee. Conditional promotion prices and refundable versus non-refundable offers need separate notes.
- Unknown values remain missing, not zero. Show a known subtotal and the unresolved categories so the result cannot look complete by accident.
- A connectivity pack shorter than the trip needs an applicable extension quote or a coverage warning. An “unlimited” headline is not an unlimited high-speed data budget.

Test a different itinerary
Change nights or the number of moves and recalculate only affected items. Keeping one base longer may reduce transfer purchases but does not guarantee cheaper room quotes. Compare the actual alternative and its cancellation risk.
- Keep prepaid, payable later and refundable deposits separate. A deposit is not always an additional final expense; its contractual treatment must be known.
Save the limits beside the total
